Challenge
During virtual meetings, individuals frequently need to take notes to retain important information for future reference or to share with their teams. However, Google Meet currently lacks a built-in note-taking feature, prompting users to resort to external applications for note-taking. Moreover, note-taking can be challenging when dealing with accents or poor internet connections.
Opportunity
Frequently, users commonly resort to external programs for note-taking during virtual meetings, leading to challenges in locating these notes, which can consume a significant amount of time.
Solution
Implement a feature that enables users to take notes seamlessly during virtual meetings without causing interruptions.
00 My Story
Between 2016 and 2020, I experienced the shift from in-person to Online Classes, with Zoom being the primary platform for virtual meetings, provided me with significant familiarity with Virtual Meeting Environments. Recently, I attended a meeting on Google Meet and discovered its lack of a Built-In Note-Taking Feature inconvenient, which caused me to face inconveniences to manage notes separately. This experience prompted me to conduct a case study focused on enhancing the user experience of Google Meet.

01 User Research
Carried out an Interview of 6 Employees and 2 Students to gain insights into the user experience of individuals utilizing virtual meetings and to identify obstacles for enhancing this experience
Each interviewee records Notes during virtual meetings using the program designated by their respective organizations or schools. However, the majority opt for Google Docs either for note-taking directly or for Transferring and Saving their notes for Sharing purposes
Competitor Analysis
The Competitor Analysis highlighted that leading Virtual Meeting Programs and Note-Taking Programs in the industry already incorporate features enabling users to take notes and facilitate collaboration through sharing
Tool Comparison
In comparison to other note-taking methods identified through interviews to discern users' preferences, it was found that the majority favor Google Docs due to its provision of the most efficient service for note-taking
Developing Points of Views (POVs), How Might We's (HMWs), and Storyboards based on users' experiences serves as a valuable tool in illuminating the problem to be addressed through design
These methods allow us to explore various perspectives, generate insightful questions, and visualize user journeys, ultimately guiding the design process towards effective solutions

02 Feature and Information
Employed a Venn Diagram, which incorporated business objectives, technical requirements, and user research findings, in order to ascertain a comprehensive set of features for the product
This process allowed for effective task prioritization and informed decision-making
Utilizing the MoSCoW Matrix, methodically evaluated features to discern their Essentiality, with a clear focus on prioritizing the delivery of significant value within the shortest feasible timeframe
This strategic approach enabled us to streamline Decision Making, ensuring that Essential Features received prompt attention while aligning with Project Goals and resource constraints
03 Design Development
Site Map
Developed a Site Map to comprehensively understand the current pages and screens, facilitating the construction of a seamless flow for the new feature
User Flow
Understanding the decisions users would make as they navigated through the new feature was a critical aspect
Structured a User Flow that guided individuals through the note taking process
Task Flow
Following comprehensive research and gaining a deeper understanding of user needs, developed three essential Task Flows to provide a visual representation of the pathway for the new feature
Wireframe
In the Wireframe Process, focused on establishing a clear and logically organized platform structure through experimentation with layouts and information architectures
Ensured alignment with Project Objectives and Requirements while addressing the specific needs of the intended users
Lo-Fidelity Wireframe Sketch

Low-Fidelity Wireframe provided clarity on the placement of essential elements for each screen
Commenced the process by Hand-Sketching the layout, iteratively refining the structure through frequent revisions and translated them into digital low-fidelity wireframes
Design System
Developed a Design System for Google Meet to comprehend the design language and establish consistency
Designed supplementary Buttons and Icons that are harmonized with the existing ones
Conclusively, the Design System was applied to the Low-Fidelity Wireframe, resulting in the generation of the High-Fidelity Wireframe

The objective of the Usability Test was to systematically assess the ease of use of the product, analyze user navigation behavior, and acquire valuable insights into the overall user perception of the product

Overall
Google Meet - Note The embedded note-taking feature streamlines the process of capturing vital information during virtual meetings, eliminating the need to juggle multiple software applications and ensuring users remain focused. These notes are conveniently stored in the google drive for future reference and are easily retrievable, fostering seamless sharing with the team to enhance collaboration efforts.
The solution proves to be efficacious for both END-USERS and the BUSINESS.
End - User
Users have a reduced likelihood of losing focus when they use an embedded note-taking feature instead of external programs, minimizing delays in retrieving notes from previous meetings when needed.
Business
The stimulation and convenience offered by the collaborative features lead organizations to choose Google Meet as their preferred method for virtual meetings. The introduction of this feature has resulted in a simultaneous increase in the usage of existing features.
